How we collect, use and protect personal data, in accordance with UK GDPR and PECR.
Humanoid Robot Care is a UK business, part of the Hitchens Group. Our contact address for data protection matters is hello@humanoidrobotcare.co.uk. We are based in the United Kingdom.
We are not required to appoint a Data Protection Officer. For any privacy-related query or request, write to the address above.
If you contact us by email, we hold your email address and the content of your message, along with any other information you choose to include. We do not operate web-based contact forms at present. We do not collect health or care data about residents or service users. If you include sensitive personal information in an email to us (for example, details about a relative's care), we will handle that information with appropriate care and will not share it beyond what is necessary to respond to your enquiry.
Our hosting provider maintains standard server access logs, which typically include IP addresses, browser type, pages requested, and timestamps. These are held by the hosting provider for operational and security purposes. We do not use these logs to identify individual visitors.
If we use analytics software, it will be configured to comply with UK privacy law, including UK GDPR and PECR. We will not use analytics tools that set cookies without your prior consent. Where analytics is in use, this notice will be updated to describe it.
For enquiries from businesses and organisations (B2B), our lawful basis is legitimate interest: responding to a professional enquiry directed to us is a proportionate and expected use of the contact information provided. We apply a legitimate interest assessment to ensure this basis is appropriate.
For any marketing or follow-up contact beyond responding to the original enquiry, we will ask for your consent before proceeding. We do not send unsolicited marketing.
For enquiries from individuals (families, members of the public), our lawful basis is also legitimate interest, in responding to a contact addressed to us. We do not retain personal data from individual enquiries beyond the period needed to respond and for a reasonable follow-up period.
We do not set cookies beyond those strictly necessary for the site to function. Strictly necessary cookies, if any, do not require consent under PECR. We do not use advertising cookies, tracking pixels, or third-party analytics cookies without your consent. If we introduce any optional cookies in the future, we will present a consent mechanism before setting them.
We do not sell personal data. We do not share personal data with third parties except in the following circumstances: where you have given explicit permission (for example, if you ask us to pass your enquiry to a specific provider); where we are required to do so by law; or where it is necessary for the operation of our hosting and email infrastructure (our service providers are bound by appropriate data processing agreements).
We do not pass enquiry contact details to robot providers or other commercial parties without first telling you and obtaining your agreement.
We hold enquiry emails for as long as is necessary to handle the enquiry and for a reasonable period thereafter, typically no longer than two years from the date of the last relevant communication. We review and delete data we no longer need. If you want us to delete your data earlier, write to hello@humanoidrobotcare.co.uk.

If you are unhappy with how we have handled your personal data, you have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator. The ICO's website is ico.org.uk.
